The Family Contact

The family contact is best described as a container that holds together a group of students.  By linking together students in a family you can share credits amongst all members of the family.

To share credits in a family the credits must be owned by the Family Contact.  Credits owned by the students are not shared among the other members of the family.

The order of operations for using this feature are:

  1. Create your student contacts
  2. Create the family contact
  3. Link the students to the family

Again, once this relationship is in place you can allow students to share credits. 

Before we do any further it is important to know that a Family is not a student and as such as far fewer privileges.  A family cannot log in, a family cannot take a class, and family cannot pay for credits but can have credits assigned to them. 

Use of this feature is optional.

Using the Family Contact

There are two methods to creating a family contact in Genus.  The first is to click the shortcut "Create Family" located in the left-hand shortcut toolbar.  The second is to select the menu option Contacts-->Families and then click the "Add New" option.

The input screen for the Family contact has very few fields.  Only one of those fields is required and that is the family name.  However it is best to give more information in order to tell one family from the next if the names are the same.

In the example screen shot below we've input the Smith family information.

Once you have input all the details for the family click the update button.  This will add the family to the system, and allow you to add members.

In the detail view of a family contact there is a section labeled Family Members, here you can review or remove members of the family.  There are two methods to associate students to a family.  Either from the student detail view or from the family view.

We'll first review how to do this from the Family Detail View.

The Family Detail View (edit)

To add existing students to a family contact click the button "Select Students to Add to Family".  This then shows you a searchable applet of all current students.

In our case we'll search for all students named "Smith".

You can then add one or more of these students to the Family contact by checking the box beside the name and clicking "Add Student(s)".

Genus will then associate these students to this family contact.  You can review which students are asscoiated to the family contact by viewing the family members section

To remove a student from a family you simply click the Remove icon.

You can also make the link from the student contact view.  First you locate the student you wish to link, in our case it is John Smith.

There is a button right below the students last name labeled "Show Families".  By clicking that you will see all the current Family Contacts in the system.

In our case we want to link to the Smith Family at 123 Maple Drive.  Simply pick that family and click the button "Update Family Link".

John is now associated to the Smith family, you can see that in his detail view.

You can also see from the Family contact view for the Smith Family that John is linked to them.

Moving forward any class credits owned by the Smith Family contact by be used by either John, Vivian or Tiffany.  You can sell a family membership plan and everyone benefits.

It is important to note that the credits must be owned by the Family contact, the following explains how to easily do this.

First point to note, a family cannot buy credits.  Only a student can buy credits.  So let's create an billing item for John Smith.  Locate John and select the option to create an invoice.

In the header of the invoice there is a section that lists the BILL TO, and the GRANT CREDITS TO.

By default they are the same, however in this case we want to grant some credits to the Smith Family.  So click the Change button, and find the smith family and select it.

Genus will tell you how many members are linked to this family, allowing you to sell the proper family package.  In our case we'll buy 10 privates, to be shared.

Note that in the line item of the invoice Genus will tell you who gets the credits.

If John Smith also wants to buy a few credits for himself he can Change the Grant to and add another line item.  The example below has 10 privates that will be shared amongst the Smith family, and 1 workshop just for John.

Once you have completed the billing process you can review the reciept to see where the credits have gone.  In this case we see the Smith Family now has 10 credits for private classes.

If you go back to the Smith Family profile you will see that they have 10 credits to use:

These 10 credits can be used by any of the Smith Family members, just as they owned the credits themselves.

Viewing all Family Contacts in Genus

If you wish to view all Family's you simply select select from the menu option "Contacts->Families".

You will then be show a listing of all contacts that are Family contacts.  You can drill down to the detail View by clicking on the family name, or you can quickly view the family members by clicking the "open folder" icon beside the family name.  Again, one drills down to view details, and one simply shows you the members.
